The Growth Of Conference Calling

Conference calling is the name given to the process of making a phone call with at least three persons. Hence the name "conference".

In the past, conference calls were arranged by having more than one phone line or having a PBX box, calling everyone from one "host" and connecting all the calls together.

With the advent of internet, creating and sustaining audio conference calls have become much easier and affordable: Now you can arrange an audio conference call with virtually anybody on earth at seemingly no cost. VoIP technologies provide us with the tools and the infrastructure needed to make a call to any other VoIP device, or even landlines, mobile phones.

One of the adio conference calling giants is Skype. They offer free service all around the world. Other VoIP giants include AT&T and Cisco.

Business conference calling is another matter. Business conference calls require privacy, sometimes even encryption. Business-to-business conference calls are the easiest way to do business all around the world. And think of it, with business conference calls, you're not limited to only audio, you can use video conference calling options too!

With business conference calling, you can talk face to face with your business contacts, set up conferences with your offices all around the world: make science fiction reality.

To make quality business conference calling work, you'd better sign up with a service provider to ensure the quality will always be top-notch --which is not the case by using the standard internet infrastructure. They'll help you boost the quality of your business conference calls and make sure that no problems happen in the middle of a meeting.

Before applying for a conference call service, you must check their service quality in many ways. Ask them to offer you a demonstration first. They will probably come to your office, set up a demo system and make calls to somewhere. It will probably go smoothly. All demonstrations do. But it will help you eliminate at least the worst -- the ones that can't even set up a proper demonstration.

Then throw yourself to Google's arms and search user forums, customer feedback sites for complaints about VoIP - Conference calling companies. You will be amazed by the depth and breadth of the complaints all around the internet.

Since we are still "struggling" with technology instead of "using" it, nothing about technology is flawless. There WILL be problems. The question is "how often".

A big company like cisco or att, will probably provide the best service, meaning "the service with minimal problems". But of course, they will charge a bigger price for it. Smaller companies will provide you with a little bit more troubled service but the price will change accordingly too.

So what you need to do is compile a list of your needs, compare it to the provider's features, search the internet for problems about what you need and then find the balance between cost and performance.

Of course, if you have a million dollar budget to set up the system, just go for the giants to be safe.

How to Plan a Professional Conference Call the Right Way

If you're an office professional who's just been asked (okay, ordered) by your boss to organize the company's first high-tech phone or internet conference call, you're probably shaking in your boots. You have no clue how to go about. What if you screw up, lose the big account, and totally flush the future of your employer's company down the toilet?

Well, we're here to make sure you don't. Read on to learn how to set up a conference call that will be the envy of every other admin in your office building. And don't worry, it won't hurt a bit.

Get a Game Plan It's always important to know what you're doing and when. First, make sure you have a set date, time and number of participants laid out. Also, take into account any time zone differences if you're doing some international conference calling or making a long distance conference call. Don't try to schedule a meeting with a supplier in Asia for 2:00 AM their time. Unless, of course, they really want your company's contract.

Now Tell Everyone Else A month's notice gives busy people the opportunity to pencil you into their datebook. Provide them with the date, basic instructions on accessing the phone conference, their dial-in number, and PIN. Also include the name of the organizer (you) and contact info, proposed start and end time, and topic. And, of course, give them a copy of the proposed agenda. Don't know how to make one? Breath deep and calm down - we'll get to that.

Extras Be sure to include any incidental necessities with your notification email; spreadsheets, visual aides, charts and graphs fall under this category. If you don't have all this material ready when your email goes out, or want your group to have updated info, send it out two weeks in advance.

How to Make Up an Agenda If you don't want your teleconference to descend into anarchy, provide your meeting-goers with a complete and organized agenda. No blaming your mistakes on a hapless temp, either, because that's just mean.

Make sure your agenda covers the following points:

.Topics (Advance notice will allow your conference buddies to propose their own if necessary.) .Who's Speaking on Each Topic (Make them do some talking too.) .How Much Time each Person Has (Recycled toilet paper in the company bathrooms is an important issue, but you shouldn't allow 40 minutes for it.)

If you send out your notification far enough in advance, you can take requests. Just like a good DJ, you can choose whether to play the HR discrimination complaints with the fiscal breakdown. If something just won't fit, time-wise, suggest that the contributor send a memo to all participants requesting that it be brought up at a later date.

Also Keep In Mind... Teleconferencing has come a long way, but it still has challenges and potential pitfalls. The new, high-tech conference call lines have an annoying tendency to pick up every little comment and sound. In other words, don't bad mouth your boss, or mutter any swear words under your breath. To avoid disaster, it's important to be organized and know what you're doing, or at the very least, how to troubleshoot. And remember, a little preparation goes a long way.

How To Correctly And Easily Setup A Conference Call

Some business ventures require new ideas and techniques to inform customers and employees of things that are going on. Many times, a group meeting is called or something to that nature. The group of people meets and discusses the topics and issues then disperses. Well, sometimes it is not that simple, and everyone can not make it to the discussion on time or at all. Most people would agree that it doesn't take much time to pick up a phone, dial a number, and then participate in the conversation. This is the reason more businesses are starting to set up conference calls.

The person calling in to participate in the call does not need to do a lot. First, they dial the number that they were given to enter the conference call. After that, you will most likely be asked for your PIN code to ensure that you are in the right place and are directed to the right call area. Although the job of the caller is simple, the task of host requires more time, and in most cases money. A conference call is not a 10 minute process. Luckily for some people, there are guides on how to set up a conference call, which can be found easily on the internet. There are certain steps the host must perform in order for this call to go smoothly. First he has to notify customers, consumers, or employees that a conference call is going to take place. This can be done in a multitude of ways, whether it be by office announcements, emails, letters, bulletin boards, etc. Once people are aware of the what day and what time it is going to take place, the person setting up the call has to get to work. The host, or leader, will have to go through a hosting company in order to have the call. It may be possible to do this at his/her home, but that would require much technical assistance.

The creator of the call has to decide on one of three type of conference calls. Reservation-less, operator assisted, and operator dialed are the 3 types and each has its own unique set-up, and differ in price. The reservation-less is the most common and cheapest of the three. You simply dial the number and enter in your code and are connected. Operator assisted calls have an operator standing by for special needs, such as recording, using moderator commands, and monitoring the conference. The third, which is an operator dialed call, calls the numbers that is on a list and then manually adds them to the call. The operator then stands by for any required services, like translation, recording, or other added features.

Setting up a conference call can be time consuming. If your new to that sort of thing, you may need to do a bit of research before jumping on in and making mistakes. The price will vary from company to company, and will depend on how many people participate and for how long. However, if you are interested in setting up a conference call, then you have made a smart decision and many will appreciate the added effort to share information.
